This Privacy Policy explains how The Crowned Series LLC, operating Crowned At Sea™ (“we,” “our,” or “us”), collects, uses, stores, and shares information when you interact with our waitlist, registration, and event experience. We take your privacy seriously and want you to understand exactly what we do with your information and why.
By submitting your information through any Crowned At Sea™ form or registration, you agree to the practices described in this policy.
1. Who We Are
Crowned At Sea™ is a cruise-based community experience for the hair and wig world, produced by The Crowned Series LLC, an Arizona limited liability company. Our travel booking services are provided through Haden + Kay (“H+K”), a licensed luxury travel agency operating under host agency Travel Planners International (TPI). Where relevant, this policy identifies which entity is responsible for which data.
2. What Information We Collect
Waitlist
When you join the Crowned At Sea™ waitlist, we collect your first name, last name, and email address. That’s it. We use this information solely to notify you when registration opens and to give you your 48-hour priority access window before cabins are made available to the general public.
Registration and Event Booking
When registration opens, we may collect additional information necessary to complete your cruise booking. This may include your full legal name, date of birth, gender, passport or government-issued ID information, cabin preferences, dietary restrictions, accessibility needs, and emergency contact details. Some of this information is required by Royal Caribbean International and applicable maritime regulations — not by us.
Cabin payment authorizations for cruise fares are processed through Haden + Kay using their secure travel CRM. The Crowned Series LLC does not store or have access to your credit card or banking information collected through H+K.
Payments for optional add-on experiences, special programming, or onboard purchases made directly through Crowned At Sea™ are processed via Stripe, a third-party payment processor. The Crowned Series LLC does not store your full payment card details. Stripe’s privacy policy governs the handling of your payment information at stripe.com/privacy.
Onboard Media
Crowned At Sea™ is a photographed and filmed experience. By attending, you acknowledge that photos, videos, and other media may be captured during the event. This media may be used by The Crowned Series LLC for marketing, promotional, and social media purposes. If you appear in media captured at a Crowned At Sea™ event, your participation constitutes your consent to that use. If you have specific concerns about appearing in event media, please contact us prior to the event at the address below.
3. How We Use Your Information
We use the information we collect to operate the Crowned At Sea™ experience — including communicating with you about registration, processing your bookings through H+K, coordinating event logistics, and sending you information relevant to your attendance. We do not sell your personal information. We do not use your information for unrelated marketing without your consent.
Your email address may be used to send you updates about Crowned At Sea™, future sailing dates, and news from The Crowned Series. You can opt out of marketing emails at any time using the unsubscribe link in any email we send.
4. How We Share Your Information
We share your information only where necessary to deliver the experience you signed up for. This includes:
• Haden + Kay (H+K) — our travel agency of record, which processes cruise bookings and payment authorizations on your behalf under their own privacy obligations and under host agency Travel Planners International.
• Royal Caribbean International — as required to confirm your cabin reservation, comply with maritime regulations, and fulfill embarkation requirements.
• Flodesk — our email marketing platform, which stores and processes your name and email address as a data processor on our behalf. Flodesk’s privacy policy is available at flodesk.com.
• Stripe — our payment processor for add-on experiences and onboard purchases, where applicable.
We do not sell, rent, or trade your personal information to any third party for their own marketing purposes.
5. Data Retention
We retain waitlist information for as long as necessary to fulfill the purpose for which it was collected — typically through the conclusion of the sailing you registered for, or until you request removal. Registration and booking data may be retained longer as required by legal, financial, or regulatory obligations.
6. Your Rights and Choices
You have the right to request access to the personal information we hold about you, to correct inaccurate information, or to request deletion of your information where we are not legally required to retain it. To make any of these requests, contact us at the address below.
You may opt out of marketing emails at any time by clicking the unsubscribe link in any communication from us. Opting out of marketing does not affect transactional communications related to a confirmed booking.
7. Children’s Privacy
Crowned At Sea™ is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has submitted information to us, please contact us and we will promptly delete it.
8. Security
We take reasonable measures to protect your personal information from unauthorized access, disclosure, or loss. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
9. Changes to This Policy
We may update this Privacy Policy from time to time as our data practices evolve or as required by law. When we make material changes, we will update the effective date at the top of this page. Continued use of any Crowned At Sea™ form or service after changes are posted constitutes your acceptance of the updated policy.
